Refunds, deposits & rescheduling

This policy applies to paid audit of applications engagements with Neural Network Audit Partners. It does not cover products we do not sell — there are no physical goods, software licences, or subscription plans on this site.

Eligibility overview

Refunds depend on how far the engagement has progressed and whether a reserved reading window was held for you.

Timeframe to request

Refund requests should be emailed to hello@ai-neuralnetworks.digital within fourteen days of the event giving rise to the request (cancellation, missed handoff, or billing error).

Full refund

A full refund of amounts paid is available if we cancel the engagement for our own capacity reasons, or if you cancel in writing before we confirm that reading has begun and more than seven days remain before the reserved start date.

Partial refund

If you cancel after reading has begun but before the findings memo is delivered, we may refund the unused portion after deducting work already performed at a documented hourly equivalent and any non-recoverable scheduling cost. The deposit may be retained in part when the reserved window could not be filled.

Non-refundable items

The following are not refundable once delivered or consumed: completed findings memos, clarification calls already held, second-look reviews already completed, and rush surcharges for windows already reserved.

Deposits

A forty percent deposit reserves your reading dates. Deposits become non-refundable within seven days of the start date if you cancel, unless we agree a reschedule under the section below.

Cancellation & rescheduling

You may request one reschedule without penalty if you give at least seven days’ notice and we have an open window within thirty days. Further reschedules may require a new deposit. If you miss a scheduled clarification call without twenty-four hours’ notice (a no-show), the call is treated as delivered.

Work already started & materials

Once we have opened your files and begun cross-reading, fees reflect time spent even if you later withdraw the application. We do not purchase materials on your behalf; any rare third-party retrieval fees agreed in writing are passed through at cost and are non-refundable after purchase.

Refund process & timing

Email the engagement reference, reason, and payment method used. Approved refunds are processed within fourteen business days to the original payment method where possible. Bank transfers inside Japan may take additional clearing time.

Exceptions

Mandatory consumer protections under Japanese law take precedence where they apply. This policy does not limit those rights.
